The Practice

Our client is a specialist ophthalmology (eye surgery) practice located in Erina providing general ophthalmology services.

The practice consists of a specialist surgeon, clinical and administration team.  The medical software used is Shexie.

The Role

Perfect role for a medical receptionist that enjoys working in a busy surgical practice.

The main objective of the role is to provide high quality reception and administrative assistance to the doctor and patients.  As you will be working with team of  administration staff that work part-time, communication and team collaboration is plays a vital part in this role.

The role is commencing in January 2021 working a minimum of 10 hours per week on a casual basis.  There is the opportunity for the hours to increase and the role to develop into a permanent part-time position.

Salary will be dependent upon your previous skills and experience.  There is also onsite parking.

The Duties and Responsibilities are:

  • Providing an outstanding level of customer service in person and over the phone to patients and all health professionals
  • Typing of letters and reports
  • Efficient management of all patient data, clinical appointments, procedures, clinical files, correspondence and accounts
  • Management of patient invoicing and receipting of consultations as well
  • Completion of end of day reconciliations (eftpos, credit card and cash)
  • Management of documentation – filing patient information
  • Provide quotation to patients on day surgery procedures
  • Co-ordinate theatre lists for day surgery procedures
  • Provide information to patients on practice services and fees
  • Typing of letters and reports
  • Provide administrative support to the Practice Manager

The ideal candidate will have the following attributes:

  • Previous Medical Reception experience in a specialist practice is highly regarded, however not essential
  • Previous experience with Shexie would be advantageous, but not essential
  • Typing essential
  • You love the diversity of being on front reception liaising with patients, but also attending to back office admin tasks
  • Excellent oral and written communication skills
  • You are meticulous by nature, with a proactive attitude
  • Professional, warm and friendly disposition
  • A high standard of personal integrity – trustworthy, loyal and honest

  • Minimum typing speed of 50wpm

The medical software system used is Genie and is a paperless environment.

The Role

Due to the practice expanding, we require additional administration staff.

The role is for 2 days per week – Monday and Wednesday (8.30am to 5pm). This role will initially commence as a casual position, with a view to an increase in hours and becoming a permanent part-time position.

This role would suit if you enjoy the buzz of working on a busy front desk as well as the diversity of attending to the medical typing.

The duties and responsibilities are:-

  • Provide a superior level of customer service on the telephone and in meeting and greeting patients.
  • Efficient management of all patient data, appointments, procedures, clinical files, correspondence and accounts
  • Scheduling and effective management of patient bookings in Genie software (new, follow up, recall and confirmation)
  • Dictaphone typing of letters and reports (about 50% of the role)
  • Provide information to patients on practice services and fees
  • Management of patient invoicing and receipting of consultations (Medicare, DVA, Workers Compensation) as well as invoicing of surgical procedures
  • Completion of end of day reconciliations (eftpos, credit card and cash)
  • Other duties as directed by the Senior Medical Secretary/Practice Manager

The ideal candidate will have the following attributes:-

  • Previous experience as a medical typist is essential
  • Medical reception experience working for a specialist, however experience working for a surgeon will be highly regarded
  • Previous experience working with Genie software is essential
  • A professional and articulate manner
  • You are exemplary in customer service excellence to enable you to liaise with patients and promote the practice
  • Warm, compassionate and caring manner towards patients

The computerised booking and accounting system used is Blue Chip.

The Role

We are seeking someone to work at our Macquarie Park rooms for 3 days per week (Tuesday, Thursday and Friday).

There is parking available onsite.

The Duties and Responsibilities are:

  • Providing an outstanding level of customer service in person and over the phone to patients and all health professional
  • Efficiently and accurately managing patient appointments, procedure bookings, inputting patient data and filing of correspondence using Blue Chip medical software. Efficient management of all patient data, appointments, procedures, clinical files, correspondence and accounts, using Genie medical software
  • Formatting and uploading of outsourced typing
  • Management of patient invoicing and receipting of consultations
  • Completion of end of day reconciliations
  • Liaising with other health care professionals and hospital staff
  • Providing administration support to the Practice Manager

  • Previous medical receptionist experience in a Specialist practice is highly regarded
